Connect a staff member's Zoom account to Bookings so their virtual appointments automatically include a Zoom meeting link. Zoom is connected separately for each staff member, from their staff profile.
To connect Zoom, you need a Zoom account, and Bookings must be enabled on the site.
Bookings admins can connect Zoom for any staff member. Staff members with the User permission can connect Zoom to their own profile.
To connect Zoom to a staff member profile:
-
In Bookings, click Appointments & Staff, then click Staff Members.
-
Click the staff member.
-
In the Conferencing Apps section, click Add, then click Zoom Video.
-
Sign in to Zoom, then click Allow.
-
If the staff member has more than one conferencing app, make sure Zoom Video is the default. Next to Zoom Video, click the More (⋯) icon, then click Set as default.
Note
Zoom meetings are created in the Zoom account you sign in with when you add Zoom. To use a staff member's own Zoom account, sign in with that account.
Zoom is used for an appointment when it’s the staff member’s default conferencing app and the appointment type’s location is set to the default conferencing app.
If the staff member has more than one conferencing app, make sure Zoom is the default. In their Conferencing Apps section, click the More (⋯) icon next to Zoom Video, then click Set as default.
To use Zoom for an appointment type:
-
In Bookings, click Appointments & Staff, then open the appointment type.
-
In Location, select Default conferencing app (on some sites, Organizer’s default app).
-
Click Save.
When a customer books this appointment type, a Zoom meeting is created in the staff member's Zoom account, and the customer receives the join link in their confirmation email. If the booking is rescheduled, the Zoom meeting is updated. If it's canceled, the Zoom meeting is deleted.
Note
If Zoom isn’t the staff member’s default conferencing app, these appointments won’t include Zoom meetings.
To remove Zoom from a staff member profile:
-
In Bookings, click Appointments & Staff, then click Staff Members.
-
Click the staff member.
-
In the Conferencing Apps section, click the More (⋯) icon next to Zoom Video, then click Remove.
You can also remove access from your Zoom account. For steps, see Zoom’s guide to uninstalling Marketplace apps. Bookings then disconnects Zoom from the staff member’s profile and stops creating Zoom meetings. If Zoom is still listed in the staff member’s Conferencing Apps, remove it there as well. Meetings that were already created stay in your Zoom account.
